How to customize user buttons in Avaya IP Office

Step by Step Guide

One common task requested of the administrators is to change buttons. To do so, first open IP Office by click on start ->All Programs -> IP Office -> Manager. When manager open, it’ll display a list of all available IP Offices on the network, choose the IP Office that you want to make a change to, the login username is “Administrator” and the password is “Administrator”. Once you are in the configuration, follow the steps below:

1. In the left hand side, choose “User”.

2. Click on the user name of the person you wish to change.

3. On the right, select “Button Programming”.

To make the user recognize what each button is used for, you can add a label to the button, to do that:

  • Click on a button.
  • Type in the “Label” box.
  • Click “Ok”.

To program an unused button:

  • Double click on the button.
  • Down at the bottom in the “Action” box, you can choose one of the following actions:
  • A “Dial” action simply dials a number. It might be useful for speed dial. If it is used for speed dial, don’t forget the prefix of the dial out digit. For example, you might need to enter “9911” to dial “911”.
  • A “User” button indicates if another user is on the phone or not, and it functions as a speed dial. It’s commonly known in the industry as a busy lamp fielder (BLF). Choose from available options in the “Action Data” box. You don’t need to label this button as the system will automatically label the button with the name of the BLF.
  • To get a “Twinning” button:
    • Choose “Emulation” ->”Twinning”
    • In the label field, label it as “Twinning”
    • Click “Ok”
  • Click “Ok” when you finish programming buttons.
  • Click save icon in the task tray. Choose “Merge” in the save configuration pop up box, enter “Administrator” as username and password, click “Ok”.

You have now changed the buttons on an individual user, if you go take a look at that user’s phone, the new labels will show up and the new buttons will be present.
